Refunds & engagement changes
These rules apply to deposits and fees for financial auditing engagements with Nishi Balance Partners. Signed engagement letters prevail if they set different terms.
Eligibility
Refunds relate only to fees paid for professional audit and review engagements. This website does not sell goods, courses, or software subscriptions.
Timeframe to request a refund
Write to hello@neuroapi.digital within 14 days of a payment if you believe a refund is due under these terms or your engagement letter. Include the invoice number, engagement name, and reason.
Full refunds
A full refund of an unused deposit is available if we cancel the engagement before fieldwork begins for reasons within our control (for example, an unforeseen independence conflict discovered after signing). If you cancel in writing more than 21 days before the scheduled fieldwork start and no planning work has begun, the initial deposit is refundable minus a ¥25,000 administrative charge.
Partial refunds
If you cancel after planning has started but before fieldwork, we retain fees for hours already performed at the rates in the engagement letter and refund any unused balance of the deposit. If fieldwork has begun, fees for completed testing, observation days, and draft reporting are due; only unused prepaid amounts for future phases may be refunded.
Non-refundable items
- Fees for fieldwork days already attended, including inventory observation days
- Third-party confirmation postage or courier costs already incurred
- Administrative charge on late client cancellations as described above
- Completed agreed-upon procedures reports once delivered
Refund process & timing
Approved refunds are processed within 14 business days of written approval. Funds return via the original bank transfer method unless another Japanese domestic method is agreed in writing.
Cancellation & rescheduling
Either party may cancel according to the engagement letter’s notice clause. Rescheduling fieldwork or inventory observation with at least 10 days’ notice is usually accommodated without extra fee, subject to staff availability. Shorter notice may incur a rescheduling charge reflecting reserved count-day capacity.
Deposits
Statutory audits typically require a deposit on letter signature. Deposits secure planning slots and are applied to the final invoice unless retained under the cancellation rules above.
No-shows
If client personnel are unavailable for a confirmed inventory observation or on-site fieldwork day without timely notice, that day’s fee remains chargeable. We will propose a replacement date when calendars allow.
Work already started
Hours spent on risk assessment, sampling preparation, and correspondence after the engagement letter is signed count as started work for refund calculations.
Purchased materials
We do not sell physical products through this site. Any third-party costs advanced on your behalf (for example, confirmation courier fees) are billed at cost and are not refundable once spent.
Exceptions
Mandatory cooling-off or other consumer protections under Japanese law apply where relevant. Nothing in this policy limits non-waivable statutory rights.
